Q: What does your payroll service include?

A: At DataFin Solutions, Inc. we do not want to hide any charges from our clients. Our check charge includes the paycheck, paystub, envelope, folding, stuffing and sealing of envelope. We also include W-2's in our charge. This means that at the end of the year you will not be charged per W-2 in addition to your payroll. For a free quote, call us at 314.303.9960.

Q: How will my payroll be delivered?

A: Well, this question is answered by you. We will deliver your payroll however you prefer, whether by delivery service, pickup, mail, UPS or another option of your choice.

Q: How do I submit my payroll to you?

A: Again, this question is answered by you. We have clients who submit their payroll by fax, timesheets, phone and email.

Q: What methods do you use to ensure the accuracy and confidentiality of the entered data?

A: Before processing your first payroll, we require you to fill out a form letting us know who we can speak to about your payroll and it must be signed by an officer of the company. We will only give out information to the specified people. Also,

Q: How quickly can you rerun a payroll if a mistake happens?

A: We will rerun your payroll as soon as we receive the information from you regarding the changes. Our goal is customer satisfaction and with this as our focus we serve you.

Q: Will you rerun the payroll reports if a mistake does happen?

A: Yes. The reports will be redone and there is no charge for the additional reports.

Q: Can you track sick days, vacation days, and FMLA [Family & Medical Leave Act] days, for each employee, too?

A: Yes. We track all of the above. And, we can customize these reports based on your companies needs.

Q: Do you cover the penalties and/or interest charges for tax penalties?

A: If the penalties were a result of our mistake, absolutely. With that being said, you can be assured that the likelihood of a penalty is extremely low. We take pride in high standards and we like to keep our record clean. We have yet to have to pay a penalty for taxes or interest charges and we strive to keep it that way.

Q: Is there a fee to file taxes for multiple states?

A: The first state and city are including in our fee. Each additional state and city that we file taxes for has a nominal fee. Call us at 314.303.9960 for a free quote.

Q: Do you provide filing assistance for local taxes?

A: We will file all local taxes for you. As stated above, this is included in our payroll processing fee for the first local tax and any additional local taxes have a nominal fee.

Q: When are the funds for paying taxes taken from our company's account?

A: The funds are withdrawn with your payroll amount each time we process it. For example, if you are a monthly payroll, the funds would be withdrawn monthly. If you are a weekly payroll, the funds are withdrawn weekly.

Q: Are there charges for adding/dropping an employee or for adjusting employee information?

A: No. This is a service that we offer as a courtesy to our clients.

Q: If there are data mistakes, how long will it take to reconcile the errors, and what will it cost?

A: Once we receive the corrected information, we will reconcile the error. The cost depends on when we receive the changes. If we have already processed and sent the payroll, we do have a minimum charge. If we have not completed the processing, then we do not charge an additional fee. Our goal is to be very flexible and work with our clients to the best of our ability.

Q: Are paychecks and tax payments drawn against our company's accounts or yours?

A: They are drawn against our account so that you do not have to worry about reconciling your bank account.

Q: When are funds transferred to you for payroll?

A: We are required by NACHA regulations to collect the funds two days prior to the check date.
